Electronic Invoicing
Questions about electronic invoicing, notes and DIAN.
It is the evolution of the paper invoice. A document that supports sales transactions electronically, with the same legal validity as traditional invoices.
Required parties include VAT and Consumption Tax payers, merchants, freelance professionals and individuals with annual income above 3,500 UVT, among others.
It is the set of processes and electronic documents (invoices, debit notes, credit notes, etc.) that support commercial transactions, aiming to optimize and standardize the process to improve efficiency and tax compliance.
Basically, you need three things: invoicing software like MATIAS ERP to handle everything, a digital signature certificate (we include it!), and DIAN authorization as an electronic invoicer, a process we guide you through step by step.
You only need to provide your name (or company name), ID (or NIT) and an email address. The seller cannot demand additional documents like the RUT.
You can verify it by scanning the QR code on the invoice with your phone or entering the CUFE code (Unique Electronic Invoice Code) on the DIAN portal.
Mainly banks, financial corporations, urban public transport companies and individuals who are not VAT or Consumption Tax payers (provided they don't exceed income thresholds).
Credit Notes are used to cancel or correct errors on an already-issued invoice (e.g., a return). Debit Notes are used to apply additional charges or interest to an existing invoice.

Yes, our system is configured to handle a chart of accounts and generate reports aligned with International Financial Reporting Standards (IFRS) for SMEs.
You can easily record supplier invoices and operating expenses. The system classifies them and automatically generates the corresponding journal entry, affecting your accounts payable and financial reports.
Our system uses the weighted average cost method, one of the most widely used and accepted under IFRS. Each time you enter a new purchase, the system recalculates the average cost of your products.
Electronic POS
Questions about the DIAN Electronic POS Equivalent Document.
It is the evolution of the cash register receipt. An electronic document validated by the DIAN that supports sales and grants tax benefits to identified buyers.
The traditional POS is not validated by the DIAN and does not grant deductible taxes. The new Electronic POS is validated and allows buyers to support VAT, costs and deductions.
No. The new Electronic POS Document can be issued regardless of the sale value, eliminating the 5 UVT cap of the traditional POS.
Implementation is mandatory and progressive. Deadlines depend on your taxpayer status. Check the DIAN calendar!
You need to adapt or acquire software, register it with DIAN and request numbering authorization. With MATIAS ERP, we cover all three steps.
Only until the maximum implementation date for your taxpayer category. After that date, the traditional POS will no longer be valid as support for costs, deductions or deductible taxes.
No. The Electronic POS is an "equivalent document". If your customer explicitly requests a "sales electronic invoice", you must issue an invoice, not an Electronic POS receipt.
If the buyer does not identify themselves, the Electronic POS receipt is generated with the identification "Final Consumer" and NIT 222222222222. In this case, the buyer cannot use it for tax benefits.
RADIAN
Receipt acknowledgments, factoring and electronic bill of exchange.
It is the DIAN platform that manages the registration, query and traceability of Electronic Sales Invoices as Negotiable Instruments. In short, it is the "life record" of your negotiable invoices.
It is a document representing a clear and enforceable debt. When an electronic invoice meets certain requirements (such as receipt acknowledgments), it becomes a Negotiable Instrument that can be sold or "endorsed" to a third party.
They are the confirmations that must occur for an invoice to become a Negotiable Instrument. The three main events are: 1. Receipt acknowledgment of the invoice, 2. Receipt of goods/service, and 3. Express acceptance of the invoice.
If you sell on credit and want that invoice to serve as cost/deduction support or if you want to negotiate it in factoring operations, it is mandatory to register receipt and goods reception events.
Our platform lets you manage and transmit to DIAN the three events simply. We facilitate communication with your clients so they confirm receipts, enabling you to convert your invoices into Negotiable Instruments.
It is a financial operation where you sell your receivable invoices (which are already Negotiable Instruments) to a financial entity (a factor) in exchange for receiving the money in advance, at a small discount.
Events can be registered by the invoice issuer, the buyer/payer, the legitimate holder (in case of endorsement) and other authorized parties, depending on the type of event to register.
If after 3 business days following receipt of the goods your client neither contests nor expressly accepts the invoice, "Tacit Acceptance" occurs, and the invoice is also considered a Negotiable Instrument.
No. Only those invoices you voluntarily decide to negotiate are registered in RADIAN. However, registering receipt acknowledgments is a tax requirement for all credit invoices.
Yes, the RADIAN platform lets you check the complete traceability of an invoice, showing who the current owner is and all events associated with it, such as payments or endorsements.
API REST

An API (Application Programming Interface) is a bridge that allows different software systems to communicate with each other. It is used to connect MATIAS ERP with other tools you use, such as your online store or CRM.
Our API is RESTful, the modern standard for web communication. It uses the JSON format for data exchange, making it compatible with virtually any programming language.
Programming knowledge is required to interact directly with the API. However, many automation platforms (such as Zapier or Make) allow creating connections without writing code.
You can sync the most important business data, such as customers, suppliers, products, invoices, orders, inventory and accounting movements, both to read and to create new records.
Sure. You can connect your WooCommerce store so that every time a sale is made, an invoice is automatically created in MATIAS ERP, the product is deducted from inventory and the accounting entry is generated, all without manual intervention.
